Terms and Conditions – Guest Agreement

Please read these Terms and Conditions carefully as they form the basis upon which bookings are accepted by Imagine What Pty Ltd (trading as TravelHosts) (“TravelHosts,” “we,” or “us”) and govern the agreement between you and TravelHosts.

The payment of a deposit, or any partial or full payment for a reservation on a tour, constitutes your consent to these Terms and Conditions.

Reservations and Payment

If a deposit option is provided, your payment of the deposit at the time of booking reserves your place on a tour until the specified full payment due date (as detailed in the tour itinerary).

  • Included Services: The tour price includes the services and optional activities explicitly listed in the itinerary.

  • Excluded Services: Prices do not include services and meals not listed in the itinerary, passports or other travel documents, travel to and from the tour start and end points (unless otherwise stated), or personal expenses such as laundry, medical insurance, or communications.

For tours including accommodation and/or transportation:

  • Prices are based on twin or double occupancy. Solo travellers may be charged a single supplement to cover additional accommodation costs.

  • TravelHosts reserves the right to substitute hotels, restaurants, routes, or other services with comparable alternatives if necessary.

Booking Amendments

Transfers to a third party or an alternative tour are permitted, subject to operational feasibility and provided the request is made with reasonable notice before the departure date.

  • Transferees must meet all trip requirements and agree to these Terms and Conditions.

  • An administrative fee may apply for such changes.

Cancellation and Refunds

Single-Day Tours

  • 30+ days before the tour: You may cancel and receive a refund, less a $20 administrative fee per participant.

  • Less than 30 days before the tour: Refunds are contingent upon resale of your ticket (not guaranteed). Refunds will be issued for the resale value, less administrative costs.

Multi-Day Tours

Unless otherwise specified in the tour itinerary:

  • 120+ days before the tour: Full refund, less a $100 administrative fee per participant.

  • 120–60 days before the tour: 80% refund of the tour price.

  • 60–31 days before the tour: 50% refund of the tour price.

  • 30–0 days before the tour: No refund, unless required by law or due to TravelHosts' breach of this agreement.

If we resell your booking, you may receive a refund for the resale value, less administrative costs. Refunds may also be issued as credit notes.

Refund Conditions

  • Refunds or credit notes are not available after the tour begins unless required by law.

  • Refunds take approximately two weeks from the date of written cancellation.

  • Credit notes issued have a 3-year validity, are not transferable, and cannot be redeemed for cash.

Cancellations by TravelHosts

We reserve the right to cancel tours for any reason, including insufficient participants or safety concerns.

  • Deposits and payments will be refunded if third-party refunds (e.g., from hotels or transport providers) are received. Alternatively, you may request a credit note.

  • TravelHosts is not liable for non-refundable or non-transferable travel costs you may have incurred (e.g., flights).

Events Beyond Our Control

TravelHosts is not liable for injury, damage, loss, delay, or inconvenience caused by events outside our control, including but not limited to:

  • War, civil disturbance, epidemics, pandemics, extreme weather events, acts of God, or government actions.

Changes in Pricing

Prices are based on exchange rates and other costs at the time of booking. If there are significant changes (e.g., exchange rates, local costs, or taxes):

  • We may adjust the tour price up to 10%. For increases over 10%, you may cancel within 14 days of notification for a full refund or credit note.

Travel Insurance

Comprehensive travel insurance is mandatory and must cover:

  • Medical, dental, and emergency expenses.

  • Trip cancellations, loss of deposit, and personal belongings.

  • Damage or loss of rental equipment.

Travel Documents and Passports

You are responsible for ensuring you have valid passports and any required travel documents. Passports must be valid for at least six months after your return. TravelHosts is not liable for denied entry or associated costs.

Responsibility

To the extent permitted by law:

  • TravelHosts is not liable for personal injury, property damage, or delays caused by third-party service providers.

  • TravelHosts' liability is limited to resupplying services or covering the cost of resupplying them, as required under the Australian Consumer Law.

Acknowledgement of Risk

By booking, you acknowledge the risks associated with adventurous travel, including physical challenges, exposure to COVID-19, and unforeseen dangers.

  • It is your responsibility to remain informed about health and travel advisories.

  • Your participation indicates acceptance of these risks.

Host Authority

Hosts have the final authority during the trip to ensure safety and well-being.

  • Failure to comply with a Host’s instructions or disruptive behaviour may result in removal from the tour without refund.

  • Participants must follow the laws, customs, and regulations of all countries visited.

Rental Equipment

If rental equipment is provided:

  • Equipment will be in good condition, and you are responsible for reporting any issues promptly.

  • You are liable for damage or loss of equipment due to misuse.

Health and Fitness

Tours may involve strenuous physical activity. By booking, you confirm that you meet the physical and mental requirements for participation.

  • TravelHosts reserves the right to remove participants who do not meet these requirements or who disrupt the tour.

Governing Law

These Terms and Conditions are governed by the laws of Victoria, Australia. Disputes must be resolved in Victorian courts.

General

When you opt in to our messaging service, we will send you a confirmation message to finalise your signup.

By opting in, you agree to receive recurring automated marketing and informational text messages from Team TravelHosts. These messages may be sent using an automated telephone dialling system to the mobile number you provided during signup or any other number you designate.

  • Message frequency may vary, and additional messages may be sent based on your interaction with Team TravelHosts.

  • We reserve the right to adjust message frequency at any time and to change the short code, phone number, or alphanumeric sender used for messaging.

  • Standard message and data rates from your mobile provider may apply. Please contact your provider for questions about your plan.

Your consent to receive marketing messages is not a condition of purchase.

Carriers

Mobile carriers are not responsible for delayed or undelivered messages.

Cancellation

To stop receiving messages, follow the instructions provided in the message, such as replying "STOP" or clicking an included link.

After unsubscribing, you will receive a confirmation message. No further messages will be sent unless you sign up again.

If you wish to re-enrol, you can sign up as you did originally, and Team TravelHosts will resume sending messages to you.

Transfer of Number

  1. Text "STOP" from the original number to unsubscribe.

  2. Notify us of your old number via email at hello@thetravelhosts.com.

Failure to notify us may result in messages being sent to the wrong person.
